This Policy explains what personal data the Fin-Zvit website (https://fin-zvit.kyiv.ua) collects when you request accounting services or use the sole-proprietor cabinet, why we process it, and how to contact us about your data.
1. Who processes the data
The site operator is the accounting service Fin-Zvit. Contacts for personal-data requests:

The legal entity name, registration codes and postal address for official correspondence are provided on request or in the service agreement. They are not separately listed in the public site as of this revision.
2. What data we collect via the site
Through the request form on the Contact page we receive:
- name;
- phone number;
- email address;
- message text (optional);
- technical parameters the browser or form may send (for example an anti-spam “Website” field users leave empty).
If you open the form from the cost calculator, the link may carry technical estimate parameters (tax group, indicative rate, employee count, cash-register / foreign-trade options, etc.). Those parameters are not a contract price and are used only as request context.
The payroll, vacation-pay and support-cost calculators are for indicative estimates only. They do not require an account. PDF/CSV results are built from the numeric/date inputs you enter.
2.1. Sole-proprietor cabinet
The cabinet (/kabinet/) is a separate site account. Registering in the cabinet is not a bookkeeping service contract.
During registration and cabinet use we process:
- email and password (password stored hashed by WordPress);
- email confirmation status and service tokens for confirmation / access recovery (without logging the secrets themselves);
- up to three sole-proprietor profiles per account: full name, optional trade name, tax group, VAT flag, optional tax ID, phone, note;
- employee lists within each profile: full name, optional tax ID, position, employment share, active/archived state.
Employee data is entered by the account owner. The site operator has technical access to the WordPress infrastructure; a staff interface to browse all clients is not shipped in this version. Export or deletion requests for cabinet data are handled after identity checks (via info [at] fin-zvit.kyiv.ua or WordPress privacy tools).
Unconfirmed registrations, archives, event logs and backups are kept as long as needed for security and recovery; exact retention is set in internal rules and available on request. Archiving in the cabinet does not mean automatic deletion.
3. Why we need the data
- to reply to a request and advise on accounting support;
- to contact you by phone or email as preferred;
- to prepare a service proposal with the stated context (when provided);
- to run the cabinet: authentication and storage of sole-proprietor profiles and employee lists between sessions.
The legal basis for handling enquiries is your request / steps toward a service agreement, and the legitimate interest in answering a client enquiry. For the cabinet — providing the service features you request (creating an account) and related security interests. Contractual processing details are fixed in the agreement after terms are agreed. An account owner’s consent checkbox does not automatically settle all issues about third-party (employee) data — responsibility for lawful entry of such data rests with the cabinet user within the chosen service model.
4. Who may receive the data
Request and cabinet data are processed for Fin-Zvit internal communication and technical operation. The site runs on WordPress; the request form uses a forms plugin. Hosting and email delivery may involve infrastructure providers that process data only to run the site and deliver messages (email confirmation, password recovery).
We do not sell personal data to third parties. Disclosure to public authorities is possible only where required by law.
5. How long we keep data
Request data is kept for as long as needed to reply and continue service-related communication, and as required for enquiry records / contractual relations. Cabinet data is kept while the account exists, or until a verified deletion request is completed, subject to legal grounds and backup cycles. Exact archive periods are set in internal rules and can be clarified on request.
6. Your rights
You may contact info [at] fin-zvit.kyiv.ua about access, correction, deletion, restriction or objection, and about a copy of data you provided. For the cabinet you may request export or deletion of one sole-proprietor profile or the whole account after identity verification. We respond within a reasonable time. You may also contact the Ukrainian Parliament Commissioner for Human Rights.
7. Cookies and analytics
The site uses technically necessary WordPress mechanisms (including forms, cabinet login sessions and spam protection). A separate marketing cookie banner is not implemented as of this revision. If additional analytics or advertising services are added, this policy will be updated with the service list.
8. Security
We apply reasonable organisational and technical measures to protect data available via the site (including cabinet access separation, login attempt limits, and noindexing cabinet pages). No internet transmission method is perfectly secure; for sensitive documents after consultation we agree a secure exchange channel.
9. Policy changes
The current revision is published on this page with an update date. Material changes to form, cabinet or cookie data collection will be reflected here.
